Hereinafter referred to as the “Controller”.

2. Purpose of this document

This document explains what personal data we process, for what purposes, on what legal grounds, for how long, to whom we may disclose it and what rights you have in relation to the processing of personal data.

This document is issued in particular to fulfil the information obligation under Article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council, the General Data Protection Regulation (“GDPR”). When processing personal data, we also comply with Act No. 110/2019 Coll., on the Processing of Personal Data, and other related legal regulations.

3. What personal data we process

Depending on how you communicate with us or what service you order, we may process, in particular, the following data: first and last name, company name, company ID, VAT ID where applicable, billing address, e-mail address, telephone number, website URL submitted for audit, order content, data stated on invoices, order history, e-mail communication content and data necessary to process and deliver the service.

When visiting the website, certain technical data may also be processed, for example IP address, device and browser information, time of visit or technical logs, if such data is available through the technical services used.

We do not process special categories of personal data within the meaning of GDPR unless you explicitly provide such data yourself as part of communication or materials.

4. Purposes and legal bases of processing

We process personal data mainly for the following purposes:

Order processing and service delivery. We process data to receive the order, communicate with the Client, process the SIGEL Web Intelligence Audit service and deliver the resulting report. The legal basis is performance of a contract or taking steps prior to entering into a contract.

Invoicing and accounting. We process billing data and data on accounting documents to issue invoices, maintain accounting records and fulfil tax and accounting obligations. The legal basis is compliance with a legal obligation.

Customer communication and support. We process data contained in e-mail communication or other messages to answer questions, handle orders and complaints and provide operational communication. The legal basis is performance of a contract or the Controller’s legitimate interest.

Protection of rights and legitimate interests. We may process selected data to protect legal claims, prevent misuse of services, secure the website and prove communication. The legal basis is the Controller’s legitimate interest.

Marketing communication. We send marketing communications only where we have an appropriate legal basis, for example your consent or another lawful reason. If we send commercial communications, you may unsubscribe at any time or object to such processing.

5. Sources of personal data

We obtain personal data primarily directly from you, especially when you submit an order, complete a form, communicate by e-mail or otherwise communicate with the Controller.

Certain technical data may be generated automatically when visiting the website or when using technical services that provide website operation, forms, invoicing, e-mail communication or analytics.

6. Recipients and processors of personal data

We may disclose personal data, to a reasonable extent, to persons and services required for operating the website, processing orders, invoicing, communication, delivering the service or fulfilling legal obligations.

Such recipients or processors may include, in particular, providers of the native order form infrastructure, Google Apps Script and Google Sheets, automation services, invoicing and accounting systems, e-mail services, hosting and technical services, analytical tools, accountants and tax advisors, legal advisors and public authorities in cases provided by law.

In operating the service, tools such as the native order form, Google Apps Script, Google Sheets, Make, Fakturoid, e-mail services and, where applicable, analytical tools such as Google Analytics or similar services may be used. The specific scope of use may change depending on the technical setup of the website and the ordering process.

7. Transfers of personal data outside the EU/EEA

Some providers of technical, cloud, analytical or e-mail services may process personal data outside the European Union or the European Economic Area.

If such transfers occur, we ensure that they take place only under the conditions set by GDPR, in particular on the basis of appropriate safeguards such as standard contractual clauses, an adequacy decision or other lawful mechanisms.

8. Retention period

We retain personal data only for as long as necessary for the purpose for which it was collected, or for as long as required or permitted by legal regulations.

Data related to orders and invoicing may be retained for the period required by accounting and tax regulations. Data related to communication and service delivery may be retained for the duration necessary to handle the order, provide support, resolve complaints and protect legal claims.

Data processed on the basis of consent is processed until the consent is withdrawn, unless another legal basis for further processing applies.

9. Cookies and analytics

The website may use cookies and similar technologies. Some cookies are necessary for the technical operation of the website. Analytical cookies are used only where the relevant legal conditions are met, in particular after consent where required.

We may use analytical tools, such as Google Analytics or similar services, to understand how visitors use the website and to improve its content and structure. We do not use advertising cookies for personalised advertising on this website unless explicitly stated otherwise.

You can manage or refuse non-essential cookies through the cookie bar or through your browser settings.

10. Automated decision-making

We do not carry out automated individual decision-making within the meaning of Article 22 GDPR that would have legal or similarly significant effects on you.

The SIGEL Web Intelligence Audit service may use automated tools and analytical systems to process website signals. The resulting report is an analytical output related to the evaluated website and does not represent automated decision-making about a natural person.

11. Security of personal data

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration or disclosure.

Access to personal data is limited to persons and service providers who need it for the purposes described in this document.

12. Your rights

Under GDPR, you have, in particular, the right to request access to your personal data, rectification of inaccurate data, erasure, restriction of processing, data portability and the right to object to processing based on legitimate interest.

Where processing is based on consent, you have the right to withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.
